The Detail 

For any recruitment company providing a contract staffing service involving thousands of placements per week, it’s imperative that it runs a reliable, easy-to-use, fully integrated end-to-end solution that makes the weekly processing as slick as possible. Global Resources is one such company.

Global Resources is the Scottish Highlands’ leading employment specialist for contract services to companies in the construction, technical and manufacturing professions. James Ross, the Technical Services Manager explained: “We regularly place 1,500 contract staff a week and sometimes it’s more than 2,000. For each of our placements, we handle all administrative tasks such as payroll, tax, national insurance and holiday pay as well as co-ordinating any client requests during the period of employment. Our operation has to be very slick, that’s why we use a combination of Voyager Commercial and Voyager Mid-Office.”

James continued: “In a business as diverse as ours with many front and back office staff dealing with hundreds of clients and thousands of placements on a weekly basis, we have to have a system that has certain key attributes: first of all, it has to be easy to use - the graphical interface has to be good and the screen layouts clear; it has to have a rich feature set that meets all our requirements; it has to be reliable - we can’t afford any downtime; it has to be capable of processing vast amounts of data quickly - processing payrolls at speed is absolutely critical to us; and finally and possibly most importantly, the system has to be seamlessly integrated from the front, to the mid, to the back office - we cannot afford to duplicate data at any stage of our operation. Voyager’s software set is fulfilling these requirements very well indeed.”

Integration is the Key

Global Resources has been using Voyager Commercial since early 2000, so when Voyager Mid-Office was unveiled in 2005, it was keen to take a look. James takes up the story: “Naturally we took the opportunity to investigate what other products were on the market, and we found that there were very few companies who could provide end-to-end integration from the front to the back office. This was absolutely essential for us and we found that Voyager Mid-Office was the superior product, providing the high level of integration that we require.”

“That said, we did experience some early implementation issues with Mid-Office, but then again this didn’t come as a surprise because we were one of the first companies to use the software. What we did find was that Voyager support was always very good. They’re approachable and friendly, and their knowledge of the product is excellent. I really cannot fault their support in any way whatsoever.”

Since its implementation in 2005, Voyager Mid-Office has not only streamlined the middle office processing it has also provided cost savings.  James continued: “As you can imagine, processing that many placements on a weekly basis is quite an undertaking, however since implementing Mid-Office we’re now operating a higher volume with a smaller team. We’ve been able to make a 20% saving in costs which equates to about one full time equivalent.”

“We’ve been able to make savings because Mid-Office has provided us with a number of very tangible benefits: keying-in timesheets is much faster than it used to be; our sales and invoicing processing is now much slicker because they’re so simple to generate and it’s very easy to post the detail to the relevant ledgers; our payroll processing is much quicker; and also traceability has proved to be excellent – when we get a problem it’s normally easy to find the cause and solve it quickly, that’s a major plus point in our business.”

James and his colleagues have also found Voyager Mid-Office’s reporting capabilities to be very useful: “the Client Summaries and the Placement by Consultant reports in particular, have proved to be very valuable for supervisory and reviewing purposes.”

James concluded: “We’re very pleased with our choice of Voyager software. The end-to-end integration is very impressive and to the best of our knowledge there is no other company who can provide this level of functionality. Voyager is also a good company to deal with and we are very happy with the support that they provide. It’s so important to us that our operation is slick, Voyager provides us with the wherewithal to achieve this.”
